Executive Coordinator MEA

Job Description:

·       Executive Support: Provide a first-class administration and support service to clients. Prepare all Corporate and Cash Expense Claim Forms and submit for approval. Calendar Management for all the clients. Finalize and block Leadership meetings & events annually.

·       Travel Coordination: Plan & execute complex, detailed travel itineraries including all transportation, lodging; obtaining all necessary travel documents. May be required to travel to off-site meeting to assist with meeting coordination.

·       Clients Team Effectiveness:  

o    Develop and maintain an effective “communication link” between the Leadership teams, market leadership team, direct reports & across various stakeholders globally and regionally across Mars. Send out communication on behalf of clients.

·       Team Events: Plan Leadership team events including contracting hotels, ground transportation, meeting facilities, caterers, restaurants, agenda setting etc. Support with Periodic Egypt associate’s communication session – send out invite, collate presentation, coordinate technology, etc.

·       Senior Visitors: Responsible for senior visits including admin support and assistance with logistical arrangements in Dubai, Saudi, Kenya & Egypt - meeting bookings, agenda consolidation, virtual connections, technology testing and catering.

·       Project admin support: Projects as & when needed by clients.

·       Events Support: Event support for associate engagement - Annual Associate Event & associate wellbeing events in collaboration with AHWB Team – HR, Associate Relations & Office Services team as and when required.

·       Collaborate and work with commercial on PO creations and follow P2P process

·       Liaise & collaborate with other team coordinators.
