PROJECT OVERVIEW:

TROJENA (The Mountains of NEOM) will be an iconic, world-class destination, blending natural and developed landscapes and will offer unique experiences for residents and visitors alike. Located in the northwest of Saudi Arabia in the region of Tabuk just 50km from the coast, TROJENA will be a destination like no other on earth. Based upon the principles of eco-tourism facilities will include a folded vertical village, a lake with water sports and event facilities, high altitude ski village, observatory, world leading health and wellbeing facilities and a nature reserve which will be home to unique wildlife, heritage sites and exploration opportunities. With over 3,600 hotel, 2,200 homes, 9 iconic buildings and 100 world class indoor and outdoor experiences Trojena will become the ultimate mountain destination. Role Overview:

This role provides Document /Records Management support for the Trojena Project Infrastructure scope. Under the direction of the Project Documentation Manager and Project Infrastructure cluster director, the Senior Document Controller will manage the project document/records and may perform administrative tasks in accordance with applicable governance documents and work-process procedures.

Essential Job Duties

Provides document management Support to include:

· Utilizing the project ECMS (Aconex) to register, control, distribute, transmit, file and archive project deliverables in accordance with established procedures, instructions, and guidelines.

· Create and manage Aconex accounts for the project teams.

· Administering Aconex Workflows to manage the engineering, design, and construction review cycles.

· Ensuring that all project documents are in alignment with the records retention and turnover plan & Updated as necessary.

· Communicating effectively with project team members, client representatives, and field personnel to ensure that contractor’s and consultant’s submissions meet quality standards and scheduled delivery.

· Interfacing with project teams for resolution of complex questions, issues, or actions related to document control matters.

· Supporting quality assurance audits, client reviews, internal technical reviews, and external audits.

· Preparing routine reports by exporting data from the ECMS to excel, or other office software to support the engineering review cycle & for management review.

· Preparing routine documents using standard word processing, spreadsheets, or other Office software as needed to support work activities.

· Monitoring and review data entry accuracy for self & support staff.

· Directs the teams on security classification policy and procedures.

· Operating standard office equipment, copiers, and automation tools.

· Providing guidance to the project team members, contractors, and consultants, in the use of the ECMS (Aconex).

· Perform/Assist in other general administrative activities as required.

Basic Qualifications

· Must have an compiled minimum of 7-8 or more years’ experience in a relevant document and records management role. Experience must be recent.

· Must have intermediate to advanced experience using Aconex. Experience must have been obtained within the past two years.

· Must have a customer focused approach, and a good command of the English language.

· Must be able to demonstrate intermediate to advanced proficiency using standard office automation tools, including Microsoft Excel, Outlook, and Word.

· Must be able to organize and prioritize assigned document management tasks and have strong interpersonal skills, and the ability to work collaboratively with team members.

· Must be flexible and able to accept and quickly adapt to changes in work focus.

· Must be able to assist/guide less experienced team members.

Preferred Qualifications

Thorough knowledge of the Bechtel organization is highly desirable. At least 2 years of practical Aconex usage.
